Your 6-Step guide to writing a successful grant application

Grants can be transformative for businesses of any size. Whether you’re a start-up chasing your first pilot or a growing scale-up expanding cleantech infrastructure, securing non-dilutive funding allows you to push forward without giving up equity or stretching your cash flow.

Grants don’t just offer financial support; they also boost credibility, de-risk innovation in the eyes of private investors, and align your business with national and global priorities like sustainability and net zero.

However, writing a winning application takes more than simply meeting eligibility criteria. It’s about telling a compelling, fundable story. Based on Ayming’s experience supporting businesses across the UK and beyond, here’s our six-step guide to application success:

1. Define your project plan

Start with clarity. Your project needs a detailed roadmap with clear goals, defined milestones, and a realistic budget. Funders want to see that you’ve thought it through. Who is doing what? When? How will it be delivered, and what will it cost? A well-defined plan shows you’re capable and ready to deliver from day one.

2. Research the funder & align with their priorities

Every funder has an agenda. Whether it’s decarbonisation, regional economic growth, or AI implementation, your proposal must connect the dots between what you want to do and what they want to achieve. Don’t just download the grant brief – study it, liaise with the funder, and reflect their language and aims in your application.

3. Think outside the box your company

Innovation isn’t just what you’re building towards. It’s how you approach the process. Try to involve some cross-functional voices, draw in external partners, and bring diverse perspectives into your plan. A strong application often includes letters of support, collaboration, or industry endorsements, which can boost your credibility.

4. Work the story

Facts get read. Stories get remembered. Make your application tell a clear, compelling narrative: what’s the problem, why does it matter, and why is your solution the right one? Ground your claims in data but bring them to life through impact, urgency, and vision.

5. Demonstrate delivery capability

A funder isn’t just backing an idea; they’re backing you. Show that your team has the expertise and infrastructure to deliver. Provide a clear and structured plan for how you will manage the project from start to finish. Include detailed timelines, milestones, and specific actions at each phase. Funders want to see that you have thought through the operational aspects of the project and can meet the expected deliverables.

6. Follow up & stay close

Submitting your application isn’t the end; it’s the middle. Follow up with the funder, seek feedback if unsuccessful, and be ready to revise and resubmit. Many grants are cyclical, and persistence pays off. Building relationships with grant bodies also improves your odds next time.
